Executive Assistant & Children's Director

The Harbor Church is seeking a full-time Executive Assistant/Children’s Director to be a key hands on operational support and relational ministry director. This role combines ministry leadership with administrative support to create meaningful full-time opportunities. We are looking for someone with a heart for children and families, strong organizational skills, and the ability to help create a safe, welcoming, and Christ-centered environment for both ministry and church life. This position is ideal for someone who loves both people and systems — someone who enjoys helping children grow in their faith while also keeping ministry details, schedules, communication, and church support functions running smoothly. Primary Responsibilities Children’s Ministry Director - Oversee and organize the church’s children’s ministry for infants through 5th grade - Help create a safe, welcoming, and spiritually healthy environment for children and families - Recruit, train, schedule, and support children’s ministry volunteers - Coordinate curriculum, classroom preparation, supplies, and ministry materials - Communicate clearly and consistently with parents, volunteers, and church leadership - Help plan and organize children’s ministry events, activities, and special programs - Ensure ministry spaces are organized, prepared, and function well each week - Support the overall vision and growth of children’s ministry at The Harbor Church - Does yearly training for volunteers about discipline and class room policies and shares this information with any new families that join in Executive Assistant - Oversee day to day details as needed into church office systems, ie; Planning Center, MS office, & ensures website and app communication are updated with Web/App company - Help manage calendars, communication, ministry details, and organizational systems - Assist with church-wide ministry coordination and operational follow-through - Help maintain clear communication, follow up reminders, and organized support for ministry leaders and volunteers - Manage all supply orders and restocking - Sunday lobby setup and clean up - Runs all background checks - Follow up with cleaning service anytime issues arise What We’re Looking For--We are looking for someone with: - A growing and active relationship with Jesus Christ - (Please provide your testimony with your application) - Strong alignment with the biblical beliefs, vision, and values of The Harbor Church - (Please review our church website for more information) - Experience, either vocationally or as a volunteer, in children’s ministry, church leadership, office administration, or church operations - Strong organizational and leadership skills with excellent attention to detail - Strong communication skills and the ability to relate well to church leadership, volunteers, parents, and children - The ability to manage multiple responsibilities and shifting priorities with professionalism and flexibility - A dependable and self-motivated work style, and be someone who can ask questions or for input when needed - The ability to remain calm under pressure and manage many moving parts effectively - The ability to balance children’s ministry leadership with detailed administrative follow-through - Comfortable with learning and using church software, communication tools, and scheduling platforms Preferred Qualifications - Previous experience leading, organizing, or volunteering in children’s ministry - Experience with Planning Center, ProPresenter, Canva, and Microsoft Office - Experience organizing events, volunteer teams, and ministry operations - Biblical training, ministry education, or several years of related experience Workdays are Sunday 9-12 pm. (unless there is an event), Mon-Thru 8:30-5 pm.
